Appendix No.1 Regulations for Nida Art Colony of Vilnius Academy of Arts

Nida Art Colony Property Operating Rules
Nida Art Colony Property
1. Nida Art Colony (or – Colony) Property is permanent or transient material property and other assets, linked to Colony‘s practice, held in Taikos str. 43, LT-93121 Nida, Neringa: 1.1.artist residences; 1.2. dormitory; 1.3. communal spaces: a. multifunctional space A (workshops-exhibition room); b. multifunctional space B (canteen-seminar room); c. multifunctional space V (hall of the non-reconstructed building); d. roof terrace. 1.4. equipment: a. conference equipment; b. video, audio and printing laboratories; c. easels. 1.5. vehicles: a. car; b. bicycles. 2. Colony‘s art collection.
Artist Residences
3. After being chosen or invited by the Colony, visual and applied artists, designers, architects, art history, theory and criticism professionals, curators and culture managers from Lithuania and abroad can live in the artists residences. 4. Residences are appointed by competition. The guidelines are stated in www.nidacolony.lt. The selection is made by the Colony Council. 5. If there are vacant residences left after the competition, they can be rented out after applications are made.
6. Duration of the residency – no less than 1 month and no longer than 6 months. 7. Person who signs the agreement with the Colony is therefore known as “Resident“. He is held responsible for the state of the residence and behavior of his guests. 8. Throughout duration of the residency the Resident can have one companion (spouse/partner or artistic partner). It is possible to bring kids, if they are younger than 10 years old. 9. The Resident can host overnight guests, if: 9.1. he informs the administration 2 days prior; 9.2. guests stay at the residence no more than 2 nights a week; 9.3. resident pays the Colony the required sum for the cot (-s) and bed linen. 10. Pets are allowed only into one residence. The residence is appointed by the Colony's administrator. Resident is responsible for safety and peace of other residents. Resident must follow Neringa Municipality Pet Rules (approved by Neringa Municipality Council 18-03-2004 rule No. 60 (T1), can be found at http://www.neringa.lt/index.php?-159425452). 11. Methods of payment. Residents must pay for every month in advance, on the 15th of every month at the latest, or for the whole stay at once. Payments can be made in cash at the VAA Accountant's Office (Room 201, Maironio str. 6, Vilnius) or to Vilnius Academy of Arts bank account IBAN LT15 7300 0101 2590 7629 (company code 111950439, SWIFT code HABALT22, Bank Swedbank, Address Konstitucijos pr. 20A). Purpose of payment: Nida Artist-in-Residence Programme, Resident‘s Name and Last Name, duration of the residency that is being paid for.
Student Rooms (Dormitory)
12. Who can live in the Dormitory (in order of priority): 12.1.Students and professors of VAA, during international summer workshops, creative workshops, seminars, conferences and other events; 13. You need JavaScript enabled to view it . If several similar events need the premises at the same time, rooms are given on a first come first serve basis. Upon reservation, applicants must indicate the duration, number of occupants, type of room, number of additional beds, name of the person in charge and his/her contacts. 15. The person responsible, as stated in the reservation application: 15.1. gets Dormitory keys from Colony's Administration; 15.2. returns the rooms to the Colony's administrator at the end of Summer Workshop, event or stay; 15.3. is responsible for students, participants and family members' behavior, their safety and any damage; 15.4. is familiar with dormitory rules and proves it with signature. 16. Student rooms are regulated in such order: 16.1. VAA students and professors. Time between May 15th and July 15th is reserved for VAA students and professors, during their Summer Workshops; workshops last 15 days; professors can be accompanied by family members or friends; their stay at the Colony will cost the same as VAA employees and students, who do not participate in Colony’s events (paragraph 15.3); rooms for workshops must be reserved by VAA departments by the end of February:
16.2. Participants of Colony’s events. Participants of VAA projects (courses, creative workshops, seminars, conferences, summer schools) can live in the dormitory all year round; terms of reservation:
16.3. Guests can live in the Dormitory while they’re not occupied by participants of Colony’s VAA’s and other Lithuanian and foreign institutions’ projects, VAA employees and students; terms of reservation:
17. Residents of the Dormitory cannot welcome overnight guests, if they are not mentioned in the reservation application. 18. Discounts: 18.1. Requests for discounts during the Colony and other VAA departments’ projects, also other projects of Lithuanian and foreign institutions should be approved by Colony’s Executive Director. Director offers the discount. Discounts are approved by VAA Rector. 18.2. Colony’s Executive Director and Art (Programme) Director’s living costs during projects are free. 18.3. In order to ensure safety on the premises, Colony’s administrator-security staff has the right to live in the premises free of charge. 18.4. The VAA service personnel, during business trips that are approved by the Rector of VAA, live in the Colony free of charge.
Communal Spaces
19. Communal spaces can be used by Colony’s residents, VAA students, during Summer workshops and participants of other projects, organized by VAA or other Lithuanian and foreign institutions. 20. 23. Keys of rooms A, V, and C are at the Colony’s Administration, the person responsible must sign in the registration book. 24. The person responsible answers for behavior of participants and takes care of the premises after the event. This person gives the keys back to the administration immediately after the event. 25. Discounts: requests for discounts during the Colony and other VAA departments’ and other projects of Lithuanian and foreign institutions should be approved by Colony’s Executive Director. Director offers the discount. Discounts are approved by VAA Rector.
Equipment
26. Colony’s Equipment can be used by Colony’s residents, VAA students, during Summer workshops and other participants in projects by Lithuanian and foreign institutions. 27. Reservation rules and form for Conference Equipment may be found www.nidacolony.lt. 28. Conference Equipment is reserved by e-mail: This e-mail address is being protected from spambots. You need JavaScript enabled to view it with reservation form and the following information: time for which equipment is being reserved; the type of equipment; name, last name and other contact information of the person responsible. 29. Terms of reservation for conference equipment:
30. After signing registration book, conference equipment can be picked up by the person responsible at Colony's Administration. After signing, the person is responsible for equipment maintenance. The same person must return equipment to the administration immediately after the event. 31. Equipment of the Video, Audio, and Printing Lab cannot be reserved. 32. Residents receive keys for the Video, Audio, and Printing Lab with residence keys. Dormitory residents receive and return the keys at the Colony's Administration. Lab must be locked if it is empty. 33. Colony's Residents; VAA students during summer workshops; members of the Colony and other VAA units, and participants in projects run by foreign and Lithuanian institutions use easels for free. Easels are at the Colony's Administration. Signature in the registration book is required and the person who signs is responsible for easel's maintenance. After use, the easel must be returned to the administration immediately. 34. Discounts: Requests for discounts during Colony, other VAA units' projects, and projects run by foreign and Lithuanian institutions have to be approved by Executive Director of the Colony. Director indicates the amount of the discount. Discounts are approved by VAA Rector.
Payment Regulations for Dormitory, Common Spaces, and Equipment
35. Payments for rent and use of Colony's premises and equipment are made according to the Colony's Premise and Equipment Price List approved by Rector of VAA. Price List is updated once every year for the coming year. 36. VAA units pay for students and professors who live in the dormitories during the summer workshops and for the equipment and premises used during these workshops to the VAA account: LT15 7300 0101 2590 7629.
37. In all other cases rent for dormitories is paid in advance: 37.1. VAA Accountant's Office (room 201, Maironio g. 6, Vilnius). Payment slip is presented after arrival to the Colony; 37.2. money transfer to VAA account: IBAN LT15 7300 0101 2590 7629. Payment slip is presented after arrival to the Colony; 38. In all other cases payments for premise and equipment use are made in advance: 38.1. cash paid to administration of the Colony; 38.2. VAA Accountant's Office (room. 201, Maironio g. 6, Vilnius). Payment slip is presented after arrival to the Colony; 38.3. money transfer to VAA account IBAN LT15 7300 0101 2590 7629. Payment slip is presented after arrival to the Colony. 39. Purpose of Payment: Nida Art Colony; Name of the Event; Name and Last Name of the Person who will live in the dormitory; dates of the event or visit; for what the payment is being made 40. Cash is paid for services in the Video, Audio, Printing Lab to the Colony's Administration or by the payment slip with money paid to VAA bank account: IBAN LT15 7300 0101 2590 7629
Transportation
41. Colony's car is used according to VAA's Rules regarding Use of VAA's Official Cars (order Nr. VĮ-130 approved by the Rector of VAA 2007-12-20) (later- Rules). These Rules are supplemented with the following regulations: 41.1. The car can be used for free only by Colony's staff and Residents, who have a valid driver's license. Rules of requirements and responsibility are the same to the Residents and to the staff of VAA. 41.2. Residents cover the gas expenses of their trip according to the regulations in the Rules. 41.3. All questions regarding the car should be submitted to the administrator of the Colony. 42. Keys for the car are given in the Colony's Administration after signing the registration book, providing purpose of the trip, time of return, and after leaving copy of the driver's license. Person who has signed the registration book must return the car to the Colony and immediately return the keys to the Administration. 43. Bicycles: 43.1. bicycles can be used for free by Colony's Staff and Residents; 43.2. dormitory residents rent bikes according to the Colony's Premise and Equipment Price List approved by the Rector of VAA; 43.3. keys for bicycle locks are at the Colony's Administration and are given after signing the registration book; person who signs the registration book is responsible for bike's maintenance and safety; upon return to the colony, this person has to put the bicycle in an assigned space, lock the bike, and immediately return the key to the Administration. 44. Colony's administrator is responsible for the technical upkeep of the car and bicycles.
Rules Violations
45. Upon violation of these rules Residents and dormitory residents lose the right to visit the Colony in the future.
Art Collection of the Colony
46. Colony's art collection includes: 46.1. artwork by Residents, Students and other artists given to the Colony (Gift Act is signed); 46.2. artwork acquired by the Colony (purchase-sale agreement is signed) 46.3. artwork given to the Colony for exposition and/or temporary storage (agreement is signed) 47. Colony has the right to use the given or purchased artwork according to its needs (exhibit, sell, give away, and exchange). 48. Colony has the right to sell the artwork it has on a temporary basis or in storage if the agreement provides for it. In this case, the Colony pays the artists according to the provisions of the agreement. 49. Objects of the Colony's artwork collection are registered in the Colony's Book of Stored work. 50. Colony's director keeps and is responsible for the safety of the Colony's artwork collection.
